Everything you share with Donna stays completely private. Your rates, markups, and preferences are never shared, sold, or visible to anyone outside your account. Donna uses this information only to help build accurate estimates and invoices for your business.
Your answers are saved to your shared profile — visible and editable any time under My Account → My Profile.

How to use Donna
Plain-English answers. Find what you're stuck on, then get back to work.
Type "bid for [customer name]" into the chat, or tap + → Create a Bid. Donna pulls your labor rate, markup, and tax settings from your profile automatically. Review the draft on the right, then approve to send.
Same as estimates — type "invoice [customer]" or tap + → New Invoice. Donna pulls the job, calculates totals, and drafts the email. If QuickBooks is connected, it syncs there too.
Job = a single visit / a single ticket. One day of work for one customer.
Project = a bigger build that has multiple jobs under it. Example: "Smith Kitchen Remodel" is a project; "Demo day," "Cabinet install," and "Final paint" are jobs inside it.
Most simple service work is just jobs — you only need Projects when one customer's work spans multiple visits.
Three ways: tell Donna in chat ("add customer Jane Smith, 555-1212"), tap + → New Customer, or go to My Customers and tap + Add Customer. Anything Donna drafts for a new customer name auto-creates the record.
Bottom-left sidebar → Setup Connections → QuickBooks Online. You'll sign in to Intuit once and Donna will sync estimates, invoices, and receipts after that. One connection covers both Operations and Finance.
No. Donna drafts — you approve. Every estimate, invoice, email, and calendar event waits in the right-hand panel until you tap Approve. Receipt uploads and customer adds happen instantly because they're not communications.
Donna only shows green when she's actually verified the connection against your account. Red means either you haven't set it up yet or the token expired — tap Setup Connections to reconnect. She'll never fake a green light.
Donna sticks to paperwork — estimates, invoices, receipts, customers, jobs, and scheduling. She does not handle:
- Payroll, employee tax forms (W-2 / 1099)
- Tax filing, tax advice, sales-tax filing
- Bank-account access, bank reconciliations, transferring money
- Raw QuickBooks JournalEntry edits or chart-of-accounts changes
- Depreciation schedules or year-end adjusting entries
- Legal advice, contracts, lien filings, license / permit advice
Those belong with your accountant, bookkeeper, or lawyer. Ask Donna to do one of these and she'll decline and point you to the right place — Finance for the numbers, your accountant for the rest.
